3. WHAT LEGAL BASES DO WE RELY ON TO PROCESS YOUR INFORMATION?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.
If you are located in the EU or UK, this section applies to you.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:

12. CONTROLS FOR DO-NOT-TRACK FEATURES
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

17. HOW DO WE HANDLE YOUR GOOGLE USER DATA?
In Short: If you connect your Google account, FocusedFit uses its access to Gmail and Google Calendar only to provide the email and interview-scheduling features you use in FocusedFit. We do not sell Google user data, use it for advertising, or use it to train generalized AI models, and our use follows the Google API Services User Data Policy, including its Limited Use requirements.
Connecting a Google account is optional. FocusedFit asks for access to your Google account only when you choose to connect a Gmail mailbox and Google Calendar, so that you can send recruiting email and schedule interviews from FocusedFit. You can disconnect at any time, as described below.
How FocusedFit connects to Google
We connect to Google through Nylas, Inc., an email and calendar integration provider that acts as our service provider. When you connect, you sign in on Google’s own screen and approve the access listed below; FocusedFit never sees your Google password. Nylas holds that access on our behalf and carries out the requests FocusedFit makes on your instructions. FocusedFit stores the identifier of the connection and the access credentials returned when you connect in an access-restricted database.
What we access and why
Gmail (the Gmail “modify” and “labels” permissions):
- Send email. When you send a message from FocusedFit — one you wrote, or one FocusedFit drafted and you reviewed — we send it from your Gmail account to the recipients you chose, such as candidates and members of the hiring team. Outreach campaigns and teammates can also use your mailbox, as described under “Automated and shared use” below.
- Save drafts. When you choose to save a message as a draft, we save it to your Gmail drafts so you can finish and send it from Gmail.
- Read the conversations FocusedFit started. For an email sent through FocusedFit, we read the messages in that email thread to show you the conversation in FocusedFit and to notice when the recipient replies, so that FocusedFit can stop follow-up messages to someone who has already answered.
- Read your sent mail, only when a writing style guide is requested. When you (or, for a shared mailbox, a teammate) generate a writing style guide from the mailbox, we read the messages in its Sent folder from the past 60 days and select up to 20 longer, original messages (not replies or forwards) as writing samples. Those samples are sent to the AI Service Providers described in “DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?” to produce a style guide. FocusedFit then uses the guide — and the samples, while they remain active on your profile — as examples of your voice every time its AI drafts an email for you, in the email composer and in outreach campaigns, so that content is also sent to those AI Service Providers with each draft.
- Read label and folder names. We read the names of your Gmail labels and folders only to find your Sent folder for the writing style guide.
FocusedFit does not delete, move, or relabel the messages in your mailbox.
Google Calendar (the Google Calendar permission):
- See your calendars and events. We list your calendars and read events on the calendar you choose, so that you can see your schedule and find interview times in FocusedFit.
- Schedule interviews. When you schedule, reschedule, or cancel an interview in FocusedFit, we create, update, or delete that event on your calendar, and Google Calendar sends the invitation, update, or cancellation to the participants you added.
Automated and shared use. Any member of your FocusedFit account can turn on automated sending or sharing for a connected mailbox. With automated sending on, outreach campaigns can send from it: each AI-drafted campaign message must be approved by a person before it is sent, and template steps send the template your team wrote, including in campaigns that start automatically when a candidate reaches a chosen pipeline stage. With sharing on, every member of your FocusedFit account can use the mailbox through FocusedFit the way you can: send email and save drafts from it, read the conversations FocusedFit started, generate a writing style guide from its sent mail, see its calendars and events and schedule, change, or cancel events on them, and, if automated sending is also on, run campaigns from it.
Google user data and AI
FocusedFit does not use Google user data to develop, improve, or train generalized or non-personalized AI or machine-learning models. The only Google user data FocusedFit sends to AI Service Providers is the Gmail content described above — your writing samples and the style guide made from them. It is sent through UsageTap, the gateway that routes FocusedFit’s AI requests to those providers, only as context for generating output in FocusedFit: your style guide, the email drafts FocusedFit writes for you, and answers from FocusedFit’s AI assistant when a conversation in your FocusedFit account reads your profile notes.
What we store
- Connection details: the connected email address, the status of the connection, and the access credentials described above.
- Email sent through FocusedFit: the subject, sender and recipients, the opening of the message text (up to 3,000 characters), and the message and thread identifiers, linked to the candidate or contact record so your team can see the history in FocusedFit. When tracking is turned on for a message, we also record events such as a reply, a link click, or a bounce.
- Writing samples and style guide: if you generate a style guide from your mailbox, the selected samples and the resulting guide are saved to your FocusedFit profile, where you can view, edit, archive, or delete them. A copy of the samples is also kept in the record of the generation job; that copy expires three days after you request the guide and is then deleted automatically.
- Calendar: the identifiers of the events FocusedFit creates and the interview details you enter.
Other messages and calendar events that FocusedFit reads to show you a conversation or your schedule are retrieved when you open them and are not saved to our database. The Google user data we store is encrypted at rest, and it travels between Google, Nylas, and FocusedFit over encrypted connections.
How we share Google user data
We share Google user data only as needed to provide the features described above: with Nylas, which connects to Google on our behalf; with Amazon Web Services, which hosts our application and database; and, for writing style guides, the drafts that use them, and AI assistant conversations that read them, with UsageTap, which routes FocusedFit’s AI requests to the AI Service Providers described in “DO WE OFFER ARTIFICIAL INTELLIGENCE-BASED PRODUCTS?”, and with those providers. We do not sell Google user data, transfer it to advertising platforms, data brokers, or information resellers, or use it to serve ads. We transfer it otherwise only for security purposes (for example, investigating abuse), to comply with applicable law, or as part of a merger, acquisition, or sale of assets after obtaining your explicit prior consent.
People at FocusedFit do not read your Google user data unless you first give us your consent to view specific messages or other data (for example, to help with a support request you send us), it is necessary for security purposes (for example, investigating a bug or abuse), it is necessary to comply with applicable law, or the data has been aggregated and anonymized and is used for internal operations in accordance with applicable law.
Keeping, disconnecting, and deleting
We keep the Google user data we store for as long as your mailbox stays connected and, for the records described above, as part of your account’s records, as described in “HOW LONG DO WE KEEP YOUR INFORMATION?”.
To disconnect, open FocusedFit’s settings, go to Sending, then Email & calendar, and choose Disconnect (the person who connected the mailbox or an account admin can do this). When a mailbox is disconnected, we revoke FocusedFit’s access to it through Nylas and delete the access credentials we stored. If another FocusedFit connection uses the same mailbox sign-in, or if we cannot confirm that none does, we keep that sign-in in place rather than revoke it; email admin@focusedfit.ai and we will revoke it. You can also remove FocusedFit’s access yourself at any time, whoever connected the mailbox, from your Google Account at https://myaccount.google.com/permissions.
Disconnecting stops any further access. Records already saved in FocusedFit — sent-email history, writing samples and style guide, and scheduled interview details — stay with your account until you delete them or ask us to delete them by emailing admin@focusedfit.ai.
Limited Use
FocusedFit’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
